The Property Manager’s Checklist for Reliable Landscaping Partners

Why your landscaping partner matters more than your mowing schedule

Most property managers think of landscaping as line item #14 on the budget, something you set, forget, and react to when tenants complain. That is the wrong frame. A reliable landscaping partner is one of the few vendors who touches every resident, every visitor, and every prospective tenant who walks the property. A neglected lawn, a littered flower bed, or a dead shrub at the entrance is the first thing people see, and the first thing they post in the building’s Google reviews. The vendor you pick determines whether your property looks like it is being maintained or being abandoned.

Verify they have multi-family and HOA experience, not just residential yards

Residential landscaping is a different job from multi-family and HOA work. The mow patterns are different (large open common areas vs. fenced backyards). The contract structure is different (board approvals, monthly recurring invoicing, multiple decision-makers). The liability profile is different (shared spaces, common amenities, children playing). When you evaluate a vendor, ask for two or three properties they currently maintain that look like yours: same number of units, same property type, same Central Louisiana climate. Drive by on a Tuesday at 10am and again on a Saturday morning. If the property looks the same both times, you have found a vendor who shows up when no one is watching.

Confirm they handle commercial contracts, not just one-off mowings

A vendor who only does one-time mowings is not a partner; they are a gig. For rental properties, HOAs, and multi-family communities, you need a vendor who can quote, scope, and execute under a commercial contract: recurring service schedules, defined deliverables, weather rescheduling, and a process for change orders when a property needs more or less in a given month. Ask whether they offer written agreements, how long their average client relationship lasts, and whether they will provide references from a property manager who has been with them for at least two years. A vendor who has been renewing the same commercial contracts for 5+ years is doing something right.

Check the reliability basics: response time, backup crews, and weather plans

Reliability is the word most vendors will say without backing up, and a reliable lawn service for rental properties earns that word on the property when no one is watching. Ask three specific questions. First, what is your typical response time when a tenant reports a problem: same day, next day, 48 hours? Second, if your regular crew is sick or on another job, who covers? Third, what is your policy on weather rescheduling: do you push the mow to the next clear day, or skip the week? The answers tell you whether the vendor runs a business or just owns a mower. Get the answer in writing in the contract.

Get the scope of services in writing, and check it covers more than mowing

Most property managers under-buy landscaping because the scope they get quoted is “mow, edge, blow.” That is lawn care, not landscaping. A full-service partner should also handle shrub and tree pruning, mulching, seasonal flower bed maintenance, leaf cleanup, irrigation checks, and basic landscape installation when a bed needs a refresh. If the vendor you are evaluating only does mowing, you will end up hiring a second vendor for everything else, which doubles your coordination work. Look for a local Central Louisiana presence, not a regional broker
